Running a Grassroots Football Club requires a huge amount of time and effort from volunteers.

The Club Chairman

Every Club requires a Chairman to provide leadership and direction for the Club, whilst

Overseeing the work of the Club Committee.

The Club Secretary

The Club Secretary has arguably the largest list of Roles and Responsibilities. These include:

    • Producing Agendas for all meetings
    • Taking Minutes for all meetings
    • Taking and distributing messages from the FA and Leagues to all Managers and Lead Coaches
    • Ensuring there is Club representation at all League Meetings
    • Acting on behalf of the Club to vote on any Rule changes after consultation with the Management Committee
    • Distributing League Meeting Minutes and any Handbooks to all Managers and Lead Coaches
    • Ensuring pitches are booked
    • Completing Cup Competitions entries
    • Completing League Registrations
    • Submitting Team Information Forms to the Leagues on time
    • Submitting Club Affiliation Forms
    • Updating Club Officials, Team Officials and Team details on the Club’s Administration System
    • Ensuring all invoices are passed to the Club Treasurer
    • Ensuring all discipline issues are dealt with
    • Ensuring all issues regarding missed games are dealt with

The Club Treasurer

A Club Treasurer deals with all the Club’s finances. They will also be expected to try to raise

funds for the Club.

They are expected to create annual income and expenditure sheets, a monthly balance sheet

and ensure all payments and fines are paid on time and correctly recorded.

The Vice Chairman

A Vice Chairman assists the Club Secretary and the Club Chairman in the day to day running of

the Club, deputising if required to do so at any time.

The Welfare Officer

The Welfare Officer’s role is to oversee any Safeguarding issues. The Welfare Officer manages

and reports any concerns regarding children and ensures the Management Committee are clear

about the responsibilities of running activities for children and young people and how to report

concerns.

This involves:

  • Ensuring these responsibilities are well understood by all members of the Club
  • Working with the League Welfare Officer
  • Working with the County FA Welfare Officer
  • Promoting the FA’s Respect Programme
  • Helping to develop ‘Best Practise’ for all Club members
  • Ensuring all Coaching Teams have the required qualifications and kit

Putting in place and updating:

  • A Safeguarding Children Policy, An Anti-Bullying Policy and an Equality Policy
  • A responsible Recruitment process
  • The FA Respect Codes of Conduct

The Lead Coach/Team Manager

The Lead Coach/ Team Manager works with the Coaching team to organise team training and

matches. They are also responsible for working with the Management Committee to ensure all

administration is correctly recorded and required subs are paid.
